Terms of Service for HVAC AI Answering

These terms explain your subscription, your responsibilities for call handling, and how we process caller information for your business. Review them before requesting a free trial, and use the browser demo to test a fictional HVAC call first.

The Service and Its Operator

TypeScience, trading as HVAC AI Answering, provides the AI receptionist service described in these terms. The service is for businesses that want help answering HVAC calls, collecting intake details, and arranging the next step under their own instructions.

These terms cover the subscription and your use of the service, including our processing of caller information on your behalf. Governing law is California. For help with your account or a question about these terms, email support@hvacaianswering.com.

Starting Your Account

You start an account through an email sign-in link and complete an onboarding chat with the AI. The setup uses your answers and the website content you identify to learn your services, service area, hours, price policy, and urgent-call instructions.

You are responsible for the accuracy of what you tell the AI. Include services you do not perform and the people who should receive urgent calls. Your settings can be changed by telling the AI in plain words, so review them when your shop's hours or on-call arrangements change.

Trial and Monthly Subscription

The free trial lasts 14 days and is capped at 100 minutes. A card is required before call forwarding goes live. The trial converts to a paid subscription only with a card on file, and we send a reminder email two days before that conversion.

The plan costs $249 per month and includes 500 AI minutes. Additional minutes cost $0.20 per minute and are billed monthly. Your subscription renews monthly until you cancel it online. Review your usage in the dashboard as you test calls and put the receptionist into service.

Cancellation and a Lapsed Plan

You can cancel online in one click, and cancellation takes effect at the end of the paid month. The subscription is month to month. Keep your account settings current so your call handling reflects the arrangement your business wants.

If a plan lapses, calls go to your backup number or voicemail. Maintain that backup route as part of your business's phone setup. Closing the account also affects how long we keep transcripts and summaries, as explained in the data processing terms below.

Forwarding Your Business Calls

Your receptionist answers day and night once your calls forward to it. You choose whether to forward all calls or only calls that are unanswered, busy, or outside your business hours. The service includes a local number and a forwarding guide for your carrier or phone system.

Make the test call before going live so you can hear the greeting and review the result. Your business remains responsible for its greeting, policies, and the accuracy of its instructions. Keep a backup way to be reached and review summaries because the AI can make mistakes.

Required Call Disclosures

Your receptionist announces at the start of each call that it is a virtual assistant and that the call is recorded. These notices are required features of our service and cannot be disabled. Your business greeting must retain both notices.

Calls produce recordings, transcripts, and summaries that your business can review. Alerts arrive by email and app push notification, and a daily digest email is also provided. The opening disclosure and the resulting call records are part of how this service operates.

Intake, Messages, and Price Questions

Your receptionist uses the intake questions and business information supplied during setup to handle calls. It can flag urgency, take complete messages, and politely end spam and robocalls. It speaks English and Spanish, and callers can switch language during a conversation.

You set the price policy the receptionist follows, such as taking details for a quote or describing a diagnostic fee your shop has supplied. The AI does not make up prices. Review your policy and call summaries so your team can follow up with the correct service information.

Appointments and Urgent Routing

The receptionist can book appointments into Google Calendar or collect details for your callback, depending on your preference. Your instructions determine which approach your business uses. Keep those instructions accurate when your appointment handling changes.

For urgent calls, you can set a warm transfer or a page to your on-call person in the order you choose. With a warm transfer, that person hears a short summary and presses 1 to accept the call. Keep the on-call details current and maintain a backup way to be reached.

Safety and Emergency Limits

The service is not an emergency service or a replacement for 911. Its safety scripts tell callers reporting gas smells, carbon monoxide alarms, sparks or burning smells, or flooding near electricity to get everyone out and call 911 or the utility from outside. The service then alerts your business.

For a fire, the script says: Get everyone out first, then call 911 from outside. It then alerts your business. For a medical emergency or anyone in danger, the script tells the caller to hang up and call 911 right now, then alerts your business. It does not provide repair steps. Your business should review urgent-call summaries and use its own staff to decide the appropriate service response.

Optional Chat and Lead Follow-Up

Website chat and lead follow-up calls are add-ons to the service. Website chat on your own site uses the same business knowledge and rules as your receptionist. You are responsible for keeping that underlying information accurate.

Lead follow-up is limited to people who submitted your web form and ticked a consent box naming your business. Our service requires prior express written consent for those calls, and your business is responsible for its consent records. We do not offer cold calling, list dialing, or calls to purchased leads.

Follow-up is attempted within about a minute, between 8 a.m. and 8 p.m. in the recipient's time zone. The service makes one attempt and one retry, and honors opt-outs at once. Those operating limits apply to the add-on's follow-up calls.

Acceptable Use

We do not permit cold calling. Illegal use, robocalling, impersonation, and harassment are also prohibited. Your business must use the receptionist within the service's stated purpose and maintain accurate policies and consent records for any follow-up calls it requests.

Healthcare use involving protected health information is not permitted. Do not use the service to collect or process that information. We may suspend service for abuse, including use that violates these acceptable-use restrictions.

Data Processing on Your Behalf

Your business decides what caller information is collected and why, and we process it on your behalf to provide the service. These data processing terms are part of your service terms. You supply the business rules that guide the receptionist's intake and call handling.

Call information includes audio, recordings, transcripts, summaries, and caller numbers. We also collect your account details, onboarding answers, and content from the website you point us to. Billing is handled by our payment processor; we do not store full card numbers.

Providers and Use of Caller Information

We use providers for hosting and storage, telephone service, voice and text AI models, payment processing, email delivery, and analytics. Those provider categories support the operation of the website and the receptionist. Our AI model provider, OpenAI, does not use our API data for model training by default.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

We never sell personal information or use callers' data for our own marketing. Demo calls and chats on this site are recorded and transcribed to show the result. Website analytics include privacy-friendly analytics and Google Analytics, which uses cookies.

Retention and Privacy Requests

Recordings are retained for the period your business chooses, either 30 or 90 days, and then deleted. Transcripts and summaries are kept while the account is open and deleted within 30 days after it closes or on request.

Send access, correction, deletion, or opt-out requests to privacy@hvacaianswering.com. Callers can ask your business or contact us directly. The full privacy policy explains the information we collect, provider categories, retention, and requests in more detail.

Service Limits and Liability

The service is provided as is, and the AI can make mistakes. Your business is responsible for reviewing summaries and keeping a backup way to be reached. Check the information recorded from calls before relying on it to arrange work or respond to an urgent request.

Our liability is capped at the fees paid in the prior 12 months. These terms describe the responsibilities your business retains when using the receptionist, including its greeting, policies, setup accuracy, and consent records for follow-up calls.

Changes and Contact

We notify you by email when these terms change. This page shows its update date so you can identify the version you are reading. Send questions about the service or your account to support@hvacaianswering.com, and send privacy requests to privacy@hvacaianswering.com.

You can request a free trial after reviewing these terms. Test the receptionist with your shop's instructions, review its call summaries, and keep your backup contact route current as part of using the service.
